Overview of the Malden Public Schools

The Malden Public Schools (MPS) is a richly diverse school district located within the Greater Boston area and accessible by the MBTA orange line train.  Malden’s student body comprises approximately 6,800 students who represent 59 different countries and speak 67 different languages. Job Summary 

Maintains payroll information by collecting, calculating and entering changes in Harpers payroll system. Updates payroll records, exemptions, direct deposits, salary changes, etc. Under the general direction of the Director of Finance. 

 

CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES 

May include any and/or all of the following: 

  • Oversee/Supervise staff
  • Responsible for the overall operation of the payroll department
  • Responsible for all accounting work in the preparation and maintenance of school department payrolls, payroll records, and calculations to include all compensation actions as they pertain to the preparation and maintenance of payroll 
  • Add new employees
  • Maintain payroll records and employee files
  • Prepare and review internal payroll reports
  • Resolve payroll issues and problems
  • Reconcile general ledger accounts pertaining to payroll
  • Input and audit payroll transactions
  • Responsible for bi-weekly processing of payroll for the school department 
  • Responsible for distribution of payroll checks 
  • Process wage verifications and garnishment requests
  • Process W-2’s
  • Responsible for processing, maintaining, reporting and reconciliation of all 403(b) accounts and activities 
  • Responsible for processing, maintaining, reporting and reconciliation of disability insurance 
  • Responsible for assisting staff and other city departments with all matters relating to payroll 
  • Responsible for verifying and submitting unemployment data on school department personnel
  • Responsible for maintaining retirement records for both Municipal and Mass Teachers Retirement System (MTR)
  • Reconcile monthly payroll reports with Mass Teacher Retirement System (MTRS)
  • Timely submission of reports for retirement, MTRS, Federal, State and any other reporting agency as requested
  • Insure compliance with Federal, State, and local regulations
  • Process retirement applications as needed 
  • Process creditable service requests 
  • Responsible for completing verification of employment 
  • Ensure that all school department staff is charged to the correct salary accounts 
  • Update payroll job codes, payroll tables, pay codes, etc.
  • Responsible for meeting with new school department staff to ensure that all new hire paperwork is complete 
  • Be able to interact in a courteous and professional manner at all times 
  • Coordinate weekly attendance for sick leave, substitute pay, etc. 
  • Other duties as assigned 

 

KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS 

  • Must have a working knowledge of Harpers payroll system
  • Must be proficient in Microsoft Excel and Word

MINIMUM QUALIFICATIONS 

Education and experience equivalent to: 

Minimum three (3) years of progressively responsible accounting and payroll experience, preferably in a school setting.

 

Hours: 8:00 am – 4:00 pm, 52-week position

 

Salary: SEIU Grade 4 Payroll Supervisor 

 

Reports to:  Director of Finance & Operations
